Products are the items or services you sell. Every product you sell must be added to the system first. Well-configured products make your POS screen fast and your reports accurate.

Adding a Product

Go to Products → Add Product. The form has several sections:

Basic Information

  • !Product Name — displayed on POS, invoices, and reports. Keep it clear and consistent.
  • !Product Type — Single (standard product) or Variable (has size/color variations)
  • !Unit of Measure — Piece, Kg, Litre, Box, etc. (create units first under Products → Units)
  • !Category — groups products for filtering and reports
  • Sub-category — further classification within a category
  • Brand — manufacturer or brand name
  • Barcode / SKU — scan to search at POS. If you don't have a barcode, the system can auto-generate one.
  • Product Description — appears on detailed invoices or the customer-facing display
  • Product Image — optional, shown on POS product grid

Pricing

  • !Purchase Price (Cost Price) — what you pay for it. Critical for profit calculations in reports.
  • !Selling Price — the price you charge customers. You can set multiple prices per Selling Price Group (retail, wholesale, etc.)
  • Tax — apply a specific tax rate to this product, or leave as default
  • Selling Price Group prices — if you have different customer tiers, set prices for each group

Stock Settings

  • Opening Stock Quantity — current on-hand quantity. Set this when adding the product.
  • Opening Stock Date — the date this stock was counted
  • Alert Quantity — low stock warning threshold. When stock falls below this, you'll see an alert on the dashboard.
  • Rack / Row / Position — physical shelf location in your store or warehouse, for picking and finding products
  • Product Warranty — if you offer a warranty, set the duration and terms here
  • Product Expiry — for perishable goods, enable expiry tracking
  • Lot Number — for batch tracking of production lots

Product Types

Enabling/Disabling a Product

Set a product to Inactive to hide it from POS without deleting it. It won't appear in search or the product grid but all historical sales records remain intact. Reactivate it at any time.

Bulk Edit Products

To edit multiple products at once (e.g. change all prices in a category), go to Products → Bulk Edit. Filter by category or brand, then edit fields in a spreadsheet-style grid and save. Much faster than editing products one by one.

Bulk Price Update

Go to Products → Bulk Price Update to apply a percentage increase or decrease to a selected set of products at once. Filter by category or brand, set the percentage change, and apply.

Duplicate a Product

When adding a new product similar to an existing one, find the existing product and click Duplicate. This copies all settings (pricing, tax, category) so you only need to change what's different. Saves significant time when adding many similar products.

Stock History

Go to any product and click Stock History to see every stock movement — every purchase that added stock, every sale that deducted it, every adjustment — with date and reference numbers. Invaluable for investigating stock discrepancies.
