Invoice Layout

The invoice layout determines how your printed and digital invoices look. Go to Settings → Invoice Settings → Invoice Layout. Options include:

  • A4 Invoice — standard full-page invoice (formal, detailed)
  • Thermal / POS Receipt — compact receipt for thermal printers
  • Half A4 — compromise between full and receipt format

In the layout settings, you can configure which information appears: business name, address, logo, customer details, product columns, tax breakdown, payment method, terms & conditions, footer message, etc.

Invoice Scheme (Numbering)

Configure how invoice numbers are generated under Settings → Invoice Settings:

  • Prefix — letters at the start (e.g. INV-, SI-, 2025-)
  • Starting Number — where to begin counting (e.g. 1001)
  • Padding — number of digits (e.g. 5 digits = INV-00001)
  • Per-location prefix — different prefix per branch if you have multiple locations

Digital Invoice Link

Every invoice gets a unique shareable URL. After a sale, click Invoice External URL to get a link you can send to the customer via WhatsApp, SMS, or email. The customer can view and download their invoice from any browser — no login required.

QR Code on Invoice

Enable QR codes on invoices under Settings → Invoice Settings → Show QR Code. The QR code can link to the digital invoice URL or encode payment information. Customers can scan it to view their invoice online.

Gift Receipts

For gift purchases where the customer doesn't want prices shown: after completing the sale, click Gift Receipt from the invoice screen. This prints a receipt with product names but no prices — ideal for gift wrapping or the recipient.

Proforma Invoice

A proforma invoice is a preliminary invoice sent to a customer before the actual sale — often used to request payment in advance. Create one from the POS screen: build the cart, then select Proforma Invoice from the options. Print or email it to the customer. When they pay, convert it to a real sale.

Importing Sales

To bulk import historical sales from another system, go to Sales → Import Sale. Download the CSV template, fill in your historical sale data, and upload. This is typically used only during system migration.
